Zearn is seeking a driven and highly motivated Special Projects Associate to perform a range of high-level administrative and strategic responsibilities to maximize the CEO’s time and effectiveness. The ideal candidate will possess the ability to interact with staff at all levels in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful, and efficient, with a high level of professionalism. The position requires strong organizational and time management skills, as well as the ability to drive numerous projects and deliverables, and must be able to properly prioritize tasks. Further, the position also requires initiative, inquiry, and sound decision making while working with the CEO, senior leaders, and various internal and external stakeholders. The candidate should possess maturity and discretion, organization and attention to detail, energy and initiative, the ability to prioritize and complete a variety of tasks on time, and a willingness to work on a wide range of administrative assignments.
What This Role Will Do:
Special Projects in the Office of the CEO
- Assist with special projects as needed, including annual events and emergent opportunities
- Collaborate with the Executive Assistant to better leverage the CEO’s time to allow her to focus on mission critical issues
- Draft, edit, and proof board-facing emails and letters
- Support the Executive Assistant in anticipating & responding to the CEO’s needs relative to upcoming meetings and events, coordinating and managing materials and talking points with teams across the organization
- Coordinate with the CEO on agenda setting, note taking, and tracking follow up from key external meetings
- Coordinate logistics and operations for local and off-site meetings and events
Fundraising and Grant Reporting Support for CEO and Strategy Manager
- Proactively seek out deep and wide knowledge of Zearn’s operations and strategy
- Maintain grant reporting schedules and all other incoming funder requests, collaborating with Zearn staff to respond promptly and comprehensively to requests
- Draft compelling, accurate, and timely progress and outcome reports for funders
- Perform funder due diligence
- Demonstrate the highest bar of professionalism, in internal and external communications
Administrative Projects in the Office of the CEO
- Ensure appropriate coordination with partners and support staff across Zearn on the CEO’s fundraising activities
- Travel with CEO to all high-profile events: anticipate, identify, and resolve problems quickly and strategically offer in-the-moment support
- Complete various administrative tasks as needed – purchasing gifts, data entry, updating documents, creating surveys, obtaining signatures on contracts from CEO in downtown NYC office, etc.
- Oversee daily operations of the office of the CEO including drafting memos, information management, drafting slide presentations, updating contacts, conducting research, and handling information request
What You’ll Bring To The Role:
- Bachelor's Degree
- Minimum of 2-3 (2-3) years experience in consulting, or as a Strategy Assistant, Chief of Staff, or Special Projects Associate in a fast-paced, high-standards environment
- Exceptional oral and written communication skills with the ability to capture the CEO’s voice over time
- Communications and social media experience strongly preferred
- Demonstrated skill set in project management, including:
- Ability to keep a project moving toward successful completion
- Awareness of budget parameters
- Ability to set and meet deadlines
- Understands how metrics and competencies are connected to various projects
- Effective cross-departmental communication
- Detail oriented
- Outstanding organizational skills
- Creative and critical problem-solving skills
- Demonstrated ability to work both independently and collaboratively in a fast-paced environment, simultaneously support multiple projects and effectively prioritize own time and tasks

- Strong learning orientation; the ability to learn and grow from mistakes and the desire to constantly improve and adapt
- This role will be based in NYC
- This person should be willing to travel up to 60% per month in support of the CEO at speaking events and to the NYC office as needed
- Availability and willingness to work select evenings and some weekends
