The People Operations Specialists is at the forefront of all things related to support management, the operations manager and the whole team, as well as maintaining a productive, efficient, enjoyable and safe working environment. We need someone with experience in creating positive and engaging internal communications, maintaining a fast, meticulously organized office environment, who is able to solve problems effectively, communicate fluently and settle for nothing short of 100%. Previous operations manager experience with overseeing many things at a high level with strong attention to detail, is considered a must for this position.
The position requires candidates to be in the office at least 4 days per week.

- Experience: You have more than 4 years of experience working in a fast-paced environment (agency experience or startup experience a plus).
- Organized and Detail-Oriented: You can work independently while staying on task, and to follow instructions to complete projects within time frames.
- Tools: You are proficient in Microsoft Excel and GSuite and creating pivot tables doesn’t scare you. You also have experience working with various software, including resource and time management platforms like Float and RedMine.
- Team-Player: You have experience working with diverse teams across several different time zones; you know how to project manage a team, and you are not afraid to defend your ideas with supporting research. - Organized Multi-Tasker: You are able to manage multiple projects with set deadlines as time management, pattern recognition, prioritization, diligent attention to detail and judgment are critical in this role.
What you’ll be up to:
Every day will look a little different, but expect to be responsible for the following:
- Support the day-to-day operations for our remote and Montreal-based employees and contractors, including managing the office, coordinating orders, and providing general support to visitors and employees.
- Assist in resource management, including monitoring active projects and making recommendations on appropriate resource allocation
- Assist in planning and running scrum meetings, assist project managers in various tasks, coordinate meetings, QA for projects, and note taking.
- Collaborate with the Sales and Business Development Team as part of the RFP process, making sure we have all the required materials to deliver, including preparation and coordination with the Design and Project Management teams.
- Monitor and manage the routing of the Evolving web main phone line and general email inbox and forwarding messages to appropriate parties.
- Support the Operations Team with various administrative tasks and analysis to ensure cohesion regarding employee experience.
- Plan and organize office social events, including team-building activities and holiday parties.
- Any other special projects or tasks as assigned to this role.
