About the Role:

The Facilities Coordinator has responsibilities for the Remitly premises and property needs in terms of the security, maintenance, and enhancement of all properties to the agreed organizational standards.

General Experience Requirements

  • Bachelor’s degree in Industrial Engineering or business administration, or equivalent experience.
  • Written and verbal business English proficiency.
  • Minimum three years experience in managing small to medium projects.
  • Minimum three years experience in facilities or facilities related work.
  • Postgraduate degree in project management or accounting is a plus.

Competency Profile

  • A must to have experience in procurement and to be familiar with DGA process.
  • At least two years recent and consecutive experience in a similar role.
  • Project management experience in a facilities management role.
  • Success in managing multiple service providers to agreed scope, quality and timeframes to meet business needs.
  • A thorough understanding of current properties that Remitly leases and owns.
  • A thorough understanding of Remitly Nicaragua S.A.’s lease contracts and related agreements.
  • Proven ability to transform ideas, concepts, and business expectations into reality for property and location fit-outs expansions and ongoing operations.
  • Demonstrated, exceptional organizational skills with an ability to multitask.
  • Strong negotiation and influencing skills. The ability to get things done.
  • Excellent customer service skills, business acumen, and communication skills.
  • Enthusiastic and relationship-oriented individual who actively listens first seeks to understand and interacts well with all.
  • The ability to manage shifting and sometimes conflicting priorities for a wide range of tasks.
  • A strong desire and ability to learn within the Facilities’ domain.

Desirable

  • Experience managing security staff, systems, and processes.
  • Experience managing leases and the legal interpretation of contracts.
  • Knowledge and a strong understanding of OSH laws and principles.
  • Experience in project management and delivery disciplines.
  • Presentation skills for presenting to key stakeholders.
  • Operating knowledge and understanding of the building trade, what it takes to get things done on time, as scoped and within budget.
  • Experience and understanding in build, facilities and related vendor cost and pricing.

Responsibilities

Leadership:

  • Take ownership and demonstrate leadership for all matters relating to facilities management. Ensure the things that need to be done are done proactively and forward planned.
  • Demonstrate leadership in the Remitly´s Core Values and Behaviors.
  • Implement continuous improvement for Facilities Management to ensure high standards are maintained.
  • Forward thinking and acting to manage events or proactively manage facilities requirements.

Management:

  • Manage the Facilities Management Function.
  • Ensure the requirements of each property are managed effectively and timely to support our colleagues.
  • Maintain an active and prioritized list of tasks that need to be achieved and address in priority order.
  • Monitor property “health” and environments to ensure standards are maintained.
  • Assist the manager of Facilities Services in managing the Remitly Nicaragua Facilities.
  • Facilities management is doing the things that matter.
  • Work is balanced to ensure the things get done by the people who are accountable for them.
  • Quality outcomes are produced to the agreed timeframe.

Shared Accountabilities:

Lease Management:

  • Support the process of lease establishment and lease. arrangement for all Nicaragua sites.
  • Assist and support in negotiations for new lease arrangements.
  • Liaise with Property Managers on lease variations/issues.
  • Support is provided for leases for all Remitly´s suits managed in a professional manner.
  • Adequate assistance provided during lease negotiations.
  • Effective Relationships developed with each of the Property managers for Remitly site.
  • Lease Documentation kept up to date and to a satisfactory standard.

Contractor Coordination:

  • Liaise with 3rd party contractors in relation to maintenance. Ensure the outcomes meet expectations.
  • Coordinate financial spending levels in relation to maintenance and upgrades at site.
  • Effective Relationships developed with 3rd Party Contractors in relation to Maintenance for all our sites.
  • Physical and Financial records for Maintenance Costs for all our sites kept up to date.

Vendors Coordination:

  • Liaise with vendors in relation to all site services (food, transportation, security, cleaning, snacks bar, safety etc.) Ensure the outcomes meet the required expectations.
  • Coordinate financial spend levels in relation to food and transportation service.
  • Effective Relationships developed with vendors in relation to the services given to Remitly Nicaragua.
  • Financial records and analysis for all site services kept up to date.

Security and OHS:

  • Aid in Development and Implementation of standardized security levels at Remitly site. Including Building Locks, Access, Security Cameras etc.
  • Manage ongoing adherence to these policies and record keeping Managua Site.
  • Manage register of 3rd party contractors that have access to our site.
  • Coordinate Key and Asset register for the business.
  • Coordinate OHS Requirements of our building in relation to relevant legislation.
  • Communication and reporting from other sites managed efficiently.
  • Access Register in relation to 3rd Party Contractors kept up to date.
  • Assets register kept up to date.
  • OHS Standards and Policies adhered to the site.
  • OHS Reporting and standards meet legislation.

Facility Management:

  • Manage day to day issues in relation to Managua Remitly property facilities.
  • Manage Asset Register for the site.
  • Management of Security Cards and Keys for the building
  • Daily Issues managed effectively.
  • Assets within the site effectively managed.
