The Executive Assistant, Office of the CEO, will report to the Chief of Staff and manage the day-to-day administrative tasks supporting the CEO. The ideal candidate is one who has a passion for the work we do at Common Sense Media, a positive attitude, works well cross-functionally, strives for sustained excellence and efficiency, and thrives in a busy, fast-paced environment. This person will be key to ensuring the smooth operations of the day-to-day of the Office of the CEO through critical activities requiring superior attention to detail, such as scheduling, meeting logistics, tracking time-sensitive requests, and travel arrangements.

EMPLOYMENT TYPE: Full-Time 

SALARY RANGE: $90,000-$125,000

REPORTS TO: Chief of Staff, Office of the CEO 

LOCATION: San Francisco, CA 

 

WHAT YOU'LL DO: 

  • Prioritize and respond in a timely manner to a high volume of inbound meeting requests, as well as initiate outbound meeting requests with both internal and external stakeholders.
  • Understand the priorities of the Office of the CEO and leverage knowledge of Common Sense's network of stakeholders and supporters to provide responsive and flexible administrative support to the CEO based on new, emerging, or shifting priorities. 
  • Manage the CEO's complex schedule to maximize his time based on strategic or time-sensitive priorities.
  • Proactively track and manage the daily schedule of the CEO, ensuring he is set up for success.
  • Coordinate meeting logistics for the CEO as needed, including A/V support, reservations, catered lunch, and travel for in-person meetings.
  • Provide support to the Chief of Staff to ensure that the CEO understands the basics of who, what, where, why, and how of every meeting. 
  • Plan and coordinate all travel logistics and business expenses.
  • Provide support to the Chief of Staff in managing the activities and operations of the Board of Directors (communications, meeting prep, scheduling, agendas and materials, logistics, etc.).
  • Proactively identify and implement solutions to enhance the operational effectiveness of the Office of the CEO. 
  • Provide ad hoc assistance on personal matters, such as personal travel, hotel bookings, and light errands.
  • Stay current on emerging trends in the children's advocacy, media and technology, and education sectors. 

 WHAT YOU BRING:

  • 5+ years of relevant experience as an Executive Assistant or similar role.
  • Prior expertise in executive-level organizational and task management supporting C-level executives in the nonprofit, tech, or policy sectors. 
  • Knowledge of and an interest in the nonprofit, tech, and/or policy sectors, including key players and stakeholders and their associated organizations or institutions. 
  • Effective verbal and written communication and collaboration skills, including strong proficiency with Google Workspace.
  • Exceptional attention to detail and time management skills.
  • Significant, demonstrated aptitude for discretion and confidentiality in the handling of sensitive issues, with strong problem-solving skills.
  • Task-oriented, with an excellent sense of proactivity, priority, logic, and objectivity.
  • Experience with Salesforce CRM and nonprofit board management a plus.
