About the role

We’re looking for an Executive Assistant to support the day-to-day organisational and administrative duties of our busy Executive team. You will oversee the management of several schedules, arrange meetings with internal and external contacts, help plan for upcoming events, and generally keep the team’s days and weeks running smoothly.

This role will be perfect for someone who is highly intuitive, confident, engaging, ultra-organised and resourceful. The ideal candidate will be a natural communicator, and someone that thrives in a fast-paced environment, with constantly evolving priorities.

Through supporting our Executive team, you’ll get amazing insight into running a fast-growing business that’s helping change an industry, and be a core part of ensuring Motorway runs as smoothly as possible.

The main responsibilities include:

  • Diary management - proactively managing meeting requests and organising the diary. Over time we’d expect you to begin to make decisions on which meetings are most important, when to move things around, and when to say "no".
  • Screening correspondence - including managing emails, messages and requests, and handling them proactively when appropriate.
  • Research - providing background information to support upcoming meetings, or projects being worked on.
  • Travel planning - organising regular travel and accommodation.
  • Event planning - creating team meetings, board meetings, as well as meals and social events.
  • Administration - taking minutes at important meetings, managing expenses and other ad hoc projects that will require problem solving and attention to detail.
  • Mirror the Executive's office attendance (usually 2-3 days a week) so that you can greet and check in clients and other guests for their meetings and events.

Requirements

  • Proven Executive Assistant experience, supporting individuals at C-suite/executive level, ideally in a fast paced scale-up environment with experience booking travel.
  • The ability to learn quickly, proactively solve problems using own initiative and work autonomously.
  • Excellent organisational and time management skills - you know how to prioritise and when to say "no".
  • Exceptional communication skills, with the ability to read the room and tweak your approach for the audience.
  • Must be dependable, trustworthy and discreet as you’ll be working with highly confidential information.
  • Experience in supporting C-suite/executive level individuals from a Financial/HR background is a plus.
  • Experience in organising team and company events is a plus.
