About the Role:
- Completes a broad variety of administrative tasks for the CEO, including managing an extremely active and changing calendar of appointments; arranging travel plans; completing expense reports; and composing and preparing correspondence.
- Provides a bridge for smooth communication between the CEO and internal departments; builds relationships, gains trust and support.
- Correspond and coordinate with internal and external parties (including customers, investors and other key stakeholders), including drafting emails and other written correspondence on the CEO’s behalf.
- Support additional BrightInsight Executive team on several critical duties including: scheduling meetings, running meetings, keeping time/recording minutes, tracking action items, booking travel, etc.
- Track completion of key deliverables and projects as needed
- Coordinate with outside vendors, clients, building management, and/or security for afterhours guest services.
- Supports executive offsites, events, and customer engagements.
- Pick-up of the office mail weekly, from the San Jose location.
- Organize and maintain file system, and files correspondence and other records.
- Prepare slide decks and other presentations as needed.
- Coordinate and liaise the logistics of special events, including conferences, seminars, workshops, off-site meetings, and special projects. Ensure all materials for events (i.e., marketing materials, swag, etc.) are there upon arrival.

Here is some of what you’ll need (required):
- 8+ years’ experience working with senior level executives within and outside the company.
- Start-up experience is highly desirable.
- Experience with customers, vendors, and other dignitaries.
- Fluency in all tools of G Suite + Microsoft applications.
- Previous working experience with Slack and Zoom.
- Experience working in varying time zones.
- Experience with scheduling, organizing, coordinating meetings, appointments, and travel.
- Impeccable attention to detail.
- Ability to effectively manage multiple projects and competing priorities.
- Ability to effectively support multiple people, including the CEO.
- In-depth understanding of business requirements and organizational needs.
- Ability to build and maintain relationships across all levels of the organization.
