Buyers Admin Assistant

This role will be responsible for supporting the Buying team with general administration tasks to ensure the smooth delivery of our collection critical paths. Including management of key documents, processes and sample organisation. Key skills: Time management, communication, accuracy, ownership of processes & systems

Requirements

Product Development

  • Responsible for monitoring the key dates within the critical path, ensuring deadlines are met and we are tracking on time. Ensuring all issues or delays are communicated clearly and promptly.
  • Assist with product development processes, supporting the Senior Buyer / Junior Buyer with supplier feedback and sample comments. As well as keeping documents up to date with comments & note taking in sign off meetings.
  • Completing regular competitor shops when requested by the team for both UK and US markets.
  • Responsible for managing sample requests including marketing, production & operations samples.
  • Keeping communication clear with suppliers - across email, zoom calls and documents.


Administrative Support & Processes

  • Responsible for a range of admin tasks under the guidance of the Senior Buyer / Junior Buyer. Including barcode & carton label approvals, raising SKU’s and PO’s & inputting system information.
  • Full understanding and management of Netsuite & internal systems.
  • Working closely with Buying and Design teams to file and submit relevant artwork files for orders.
  • Responsible for creating ‘How-To’s’ and training new team members on Papier’s processes & systems
  • Sample management in the London office - making sure space is kept tidy & clearly labelled.
  • Organising parcels to be sent for Buying & Design teams. Also keeping track of sample arrivals into the office and ensuring invoices are filed and added to trackers.


Critical Path Management

  • Work closely with our Merchandising and Operations teams to ensure stock is delivered on time and adheres to our delivery requirements.
  • Responsible for leading bi-weekly communication around NPD projects - escalating issues to the Senior Buyer / Junior Buyer where necessary.
  • Keeping team internal documents updated including Project Status Notion Board with weekly update notes, amended dates & stages
