Job Description:
This position reports directly to the Senior Executive Vice President and Treasurer/CFO. Duties include assisting with day-to-day tasks as well as additional responsibilities relating to insurance, legal matters and finance. The Assistant manages the Finance Office/Student Accounts/Human Resources/No-Book Store by scheduling appointments, organizing information, and preparing documents for executive review.
Responsibilities:
- First point of contact to Senior Executive Vice President & Treasurer/CFO
- Greets visitors and connects to appropriate area or person
- Apprise Senior Executive Vice President & Treasurer/CFO of time-sensitive matters
- Read and route incoming email messages and regular mail within three email sites. Locates and attaches appropriate files for correspondence to be addressed and answered by the EVP/CFO
- Uses Microsoft Office Suite to organize information and reply
- Organizes and maintains file system and files correspondence and other records
- Prepares initial drafts of reports and replies
- Coordinates and maintains Senior Executive Vice President & Treasurer/CFO’s calendar and filing system, as well as department schedule and calendar appointments
- Organize and maintain insurance policies, order COIs, process invoices, record & document as a liaison with the Insurance broker
- Coordinates and arrange meetings, prepares agendas, reserves and prepares facilities
- Records and transcribes minutes at Finance and Audit Committee meetings
- Prepares outgoing mail and correspondence, including e-mail and faxes
- Order and maintains supplies
- Maintain Board of Trustee committee meeting documents
- Assist Finance Division, Human Resources, Student Accounts and No-Book Store team members
- Track attendance of Finance Division, Human Resources, Student Accounts and No-Book Store Administrators
- Maintain list of drivers authorized on the College’s auto policy
- Maintain up-to-date Insured Drivers’ listing and order MVRs for new users’ clearance
- Manage the Corporate Credit Card Program. Add and delete users, monitor reports, verify accuracy, troubleshoot problem areas and work with Account Payable Manager for inputting. Educate and advise credit card users on the correct processes of expense reporting
- Maintain files on all litigations, including updates on cases from insurance and lawyers and notifying those parties involved
- Other duties as assigned
Requirements
- Bachelor's Degree or three or more years related experience
- Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals
- A strong public speaking voice and comfortability engaging with C-Suite employees
- Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry
- Results oriented skills with a focus on taking initiative and problem solving
- Proficiency with Microsoft Word, Excel and Google Suite

The base salary range for this role is $60,000-$65,000.
