POSITION SUMMARY
The Administrative Manager, Office of the CEO serves a critical support role for the CEO by handling a variety of projects and administrative functions to keep the CEO focused on what matters most. The Administrative Manager enhances the CEO's effectiveness by providing information management support and representing the CEO across a variety of stakeholders. This position requires experience working directly with executives, a knack for excellence, and a strong commitment to making work easier. The ideal candidate should possess systems thinking, strong prioritization and organization, and proactive identification of support needs in an ever-changing environment.
 
The Administrative Manager will work in close partnership with Elite’s Chief of Staff and an administrative support team of 2 to ensure Elite’s leaders are provided consistently exceptional support and coverage. This role will interact with all levels across the organization as well as a variety of external stakeholders and partners.

PRIMARY RESPONSIBILITIES
The Administrative Manager’s responsibilities will encompass three primary areas:

Serve as primary goalkeeper to the CEO

  • Manage and maintain CEO's schedule and daily agendas across her universe, from personal to professional; make sure every appointment has all details and materials so the CEO is always prepared
  • Lead travel planning, management, and booking details on behalf of the CEO; be proactive in identifying potential hiccups and work to resolve them quickly
  • Provide proactive communication to the CEO and other appropriate staff on any changes as they arise
  • Manage the CEO’s email inbox, strategically directing responses in an efficient manner and identifying systems that work to reduce CEO’s time in inbox
  • Provide support to the CEO by managing, prioritizing, or redirecting responses for incoming communications and requests; manage CEO’s external contacts and relationships, when needed
  • Compile and help prepare daily briefing communication that contains informational data as well as CEO activities that need to be completed
  • Handle any and all special requests on behalf of the CEO, including running errands and handling a light load of personal activities, whenever necessary
  • In partnership with the Chief of Staff, help to determine if/when an additional administrative team member is required to manage overflow and logistics

Execute results on behalf of the executive office

  • In close partnership with the Chief of Staff, regularly monitor the activities of the executive office in pursuit of the CEO’s effectiveness; identify challenges, remove barriers, embrace technology, and promote new ideas that keep the CEO as productive as possible
  • Manage any special projects for the CEO from concept to implementation; including devising project plans, tracking progress, and ensuring successful metrics
  • In collaboration with the CEO and Chief of Staff, maintain the annual “rhythm of business” to clearly communicate key events, milestones, and activities for the CEO and leadership team
  • Create a detailed communications calendar that clearly outlines the following: 
  • Written communications
  • Recurring touch points/meetings with outside vendors
  • Recurring touch points/meetings with team members
  • Recurring touch points/meetings with key clients
  • Assist CEO in preparing for upcoming meetings, serve as notetaker when needed, and help her stay ahead by coordinating with appropriate teams, whenever needed
  • Liaise with internal staff at all levels; serve as a professional and people-focused extension of the CEO

Provide support to the team to ensure an excellent stakeholder experience

  • Answer telephones and inquiries; direct calls to the most appropriate team member or take detailed notes to ensure timely follow up
  • Partner with internal and external stakeholders to ensure CEO’s timely completion of projects and events; evaluate and summarize effectiveness of projects and initiatives to better inform her decision-making, when needed
  • Manage aspects of applicable event planning, meeting deadlines and budget guidelines
  • Coordinate with internal staff, clients, vendors, and others to establish needs for events; serve as liaison to CEO and team members throughout the planning process

KEY QUALIFICATIONS

  • At least 5 years of professional experience preferably supporting senior (VP or C-level) executives with a desire for more growth and development
  • Experience with heavy calendar management, scheduling, meeting coordination and administrative best practices
  • A desire to learn new systems, tools, and best practices for greater productivity
  • Continuously exhibit personal integrity, professional initiative, and the utmost confidentiality
