What we are looking for:

A passionate, execution focused, detail oriented and communicative administrative assistant to support the CEO-Ops team, which includes the CEO and Founder of Alt and his Chief of Staff. You are someone who is incredibly focused, organized, and has a penchant for lightning fast responses to requests. The ideal candidate is someone who wants the opportunity to learn from a founder at a fast-paced start-up. Must have some experience with complex scheduling and other administrative tasks, have at least some finance / investing experience and be knowledgeable or curious about tech, finance, and alternative assets space. You are also ideally someone who has high ownership, takes feedback well, takes pride in the quality of the delivery of work that you handle and has ambitious career goals. You have a client services mindset and are interested in applying it to how you support the executives you work with.

The impact you will make:

  • Schedule & Meetings
    • Support the Chief of Staff in managing the CEO’s calendars – meticulously and thoughtfully
    • Organize meeting agendas, materials and presentations.
    • Coordinate complex, senior-level internal/external meetings and conference calls.
    • Attend meetings, take notes, track action items, and share summaries.
  • Travel & Events
    • Assist with the coordination and set up of special projects, travel, bookings, and events.
    • Manage all travel arrangements / logistics.
  • Communications
    • Facilitate communication between the appropriate internal departments.
    • Act as liaison between executives and internal and external colleagues.
    • Preparing written critical communications, agendas, and meeting notes.
    • Build relationships with stakeholders to facilitate strong cross functional collaboration.
    • Handle confidential information. Be a vault!
  • Administration
    • Handle mail (physical & emails) as needed.
    • Manage team expenses,create expense reports, and monitor budgets
    • Assist with ad hoc projects (including networking events, etc) 
  • Other
    • Handle personal errands and duties such as home and office management
    • Arrange health & wellness appointments 
    • Order daily meals & manage groceries as needed
    • Set up reservations for meals 
    • Manage travel bookings & logistics
    • Manage support staff as needed

What you bring to the table:

  • 2-4+ years of experience, either directly or indirectly supporting an entrepreneur or C-level executive or in a high paced white glove customer service function. Alternatively, experience that lends itself to supporting a Founder & CEO (hospitality or retail, client services, talent management, etc). 
  • Administrative skills (e.g. managing schedules, managing inboxes, managing logistics, etc) 
  • At least some financial experience
  • Excellent verbal and written communication. 
  • High degree of confidentiality, accountability, and business acumen. 
  • An appetite for problem solving and an ability to creatively solve them
  • Detail oriented and highly accountable for the quality of your work.
  • Ability to multitask and handle logistics with a high degree of confidence.
  • Enthusiastically available and responsive with an ability to manage up 
  • Eager to work with the CEO-Ops team in person at least a few times a week
  • Open to traveling for work as needed
  • Skilled at anticipating needs and being proactive to get ahead of problems.
  • Self-motivated to bring things across the finish line.
  • Positive energy and attitude.

The base pay for this roles is between $78-106k. The actual base pay is dependent upon many factors including work experience.
