Our Administrative Assistant is a master multi-tasker with excellent communication skills and an upbeat attitude. You will assist management and all visitors to the company by handling office tasks, providing polite and professional assistance via phone, mail, and e-mail, making reservations or travel arrangements, and generally being a helpful and positive presence in the workplace. Reports to the Office Operations Manager.

 

RESPONSIBILITIES:

  • Manages and maintains calendars for department Management as requested, ensuring all parties are informed of and kept abreast of schedule changes and updates
  • Coordinates travel arrangements for department Management and/or team members, and outside contacts as business need arises; works closely with company travel agency (Protravel) to ensure timely response and accurate itineraries; responds promptly to travel requests and updates
  • Completes and processes expense reports for department Management using Concur
  • Coordinates meetings and department functions including but not limited to preparing and distributing agendas and other materials, reserving and preparing facilities, coordinating food/beverage service, and coordinating any necessary technical support
  • Attends meetings/functions as needed or requested, taking detailed notes/minutes, and disseminating as appropriate
  • Collaborates with Management on presentation creation and support
  • Back-up coverage for the reception/front desk, cross training for essential functions including attendance line review, employee badge issuance, locker key assignments, and office supply ordering and distribution.
  • Demonstrates a high level of professionalism in dealing with confidential and sensitive issues and information
  • Reviews and responds to daily internal/external mail and e-mail
  • Composes and distributes professional correspondence and emails, using individual initiative and as needed
  • Create content and maintain our digital signage
  • Assist with event planning, implementation and maintains records of vendors and venue
  • Conducts research as requested, compiles reports
  • Assists with special projects as assigned
  • Participates in Social/Events Committee
  • Initiates Purchase Orders as needed
  • Manages game copy orders for 2K Vegas
  • Coordinates with Legal on vetting any necessary department-related contracts
  • Assists with new vendor set-up and any necessary security vetting

 

KNOWLEDGE AND SKILLS:

  • 3+ years of administrative assistant experience in a fast-paced office with many executives to support
  • 1+ years of front desk/receptionist experience to include multi-phone line capability
  • Excellent communication and writing skills to communicate with many levels of colleagues in the Studio and within 2K
  • Intermediate level using MS Office Suite and G Suite, with ability to process daily data utilizing a database
  • Exceptional attention to detail with success at multitasking given multiple priorities

 

REQUIRED QUALIFICATIONS: 

  • High School Diploma or equivalent
  • Excellent planning and organizational skills for Executives and a large Studio
  • Well-developed, proven interpersonal and communication skills 
  • Reliable with the ability to work in a team environment and independently
  • Professional appearance and positive personality
  • Ability to lift approximately 10-20 lbs. assisted or unassisted
  • Ability to sit or stand for long periods of time; bend at waist; and use standard office equipment
  • Must be able to communicate effectively in English, in both written and oral forms

 

PREFERRED QUALIFICATIONS:

  • Associate degree in a related field
  • Understands a video gaming environment and/or likes video games
